Privacy policy

How PSPA handles enquiries, registrations, partner sharing and payment records.

Policy review date: 26 October 2026

PSPA, PRIVATE SCHOOL PRINCIPALS ASSOCIATION (known publicly as PSPA) uses personal information to respond to enquiries, review applications and deliver professional learning and events. This policy explains what we collect, why we use it, when we share it and how to contact us.

Information we collect

Depending on the enquiry, event or programme, we collect your name, email address, phone number, school or institution, professional role, city, application responses and information you choose to provide. Programme records may include registration status, attendance, participation, feedback and certificate details where applicable.

For payments, we retain administrative records such as payer details, the amount, payment status, transaction or reference ID, receipts and refund records. For eligible donations, we may also need donor identification and address details required for statutory reporting and donation certificates. These are requested through the relevant process, not a general enquiry form.

Website and service providers may record technical information such as IP address, browser information and error or security logs. Please do not include passwords, OTPs, card details, sensitive identity documents or identifiable student information in general enquiries.

How we use information

We use relevant information to answer your request, assess an application, communicate programme arrangements, coordinate participation with delivery partners, maintain attendance and payment records, issue applicable certificates, improve our activities and meet accounting or legal obligations.

Submitting an enquiry does not enrol you in a programme or provide permission for unrelated marketing. Optional promotional communications and additional uses require the relevant notice and consent where applicable. You can ask us to stop optional updates.

Optional PSPA email and WhatsApp updates

You can choose to receive PSPA programme announcements, event invitations, newsletters and school-leadership learning updates. Email and WhatsApp are separate choices. We use the contact details you provide for the channel you select; subscribing to email does not subscribe you to WhatsApp or partner marketing.

On event, programme and contact-detail confirmation forms, an optional checkbox explains the updates before you subscribe. By selecting the email subscription checkbox and submitting that form, you subscribe to PSPA marketing emails about future programmes, events and updates. The checkbox must be separate from information needed to process your registration and must not be preselected. Please complete an email-confirmation step if prompted. Declining optional updates does not prevent you from applying, attending or receiving essential messages about your own registration, payment, programme or certificate.

You can unsubscribe from promotional emails using the link in each email, or contact connect@pspa.org.in. For optional WhatsApp updates, reply STOP or contact PSPA. We retain the minimum record needed to honour a withdrawal and avoid enrolling you again without a new request. Essential programme administration messages are handled separately.

For subscriptions, we keep the channel and contact address, signup source, date and time, the notice or form version shown, and the confirmation or withdrawal record available through our communication services. Zoho Campaigns is used to manage email subscriptions, confirmation and unsubscribe requests and campaign delivery reports. Email reports may record opens and link clicks to help us assess and improve communications; opens can be affected by mailbox privacy features.

A previous enquiry, event attendance, earlier messages or a change to this policy does not by itself create a new marketing subscription. Where a past participant has no recorded marketing permission, we seek an affirmative subscription before adding them to a promotional mailing list.

Sharing with programme and event partners

PSPA may share the minimum information needed with the university or institutional partner delivering your programme, master trainers and subject matter experts. The purpose may include application review, learning delivery, participant coordination, attendance or certification. The registration notice should identify the relevant partners and purposes before information is submitted.

At some events, education-related sponsors, exhibitors, stall owners or other partners seek participant details for outreach and marketing. The details may include your name, school or institution, city, phone number and email address. Before any such sharing, the event registration notice must identify the recipients, the fields and the marketing purpose, and provide a separate consent choice. A general enquiry or programme application is not consent to partner marketing. Consent for programme delivery and consent for promotional sharing must be handled separately; withdrawal requests can be made through PSPA or the recipient’s stated contact.

We do not sell or rent personal information to data companies or share it with unrelated outsiders for their independent use. Partners are expected to use information only for the disclosed purpose and protect its confidentiality.

Service providers and legal disclosures

PSPA uses service providers for website hosting, email, Google Forms and Sheets, storage, communication and payment processing. These providers may process information needed to operate their services under their own terms and privacy policies. Hosting or processing may take place outside India, subject to applicable legal restrictions.

We may disclose information to competent official authorities when required by applicable law, a valid legal process or a lawful request. We will limit disclosure to what is required. Relevant records may also be provided to authorised professional advisers or auditors for compliance purposes.

Payment security

Payments are handled through Razorpay or the payment provider identified in the official payment invitation. PSPA does not collect or store full card numbers, CVVs, payment passwords, UPI PINs or payment OTPs. Administrative transaction records remain confidential and are accessible only for authorised purposes such as reconciliation, refunds, audit or legal compliance.

The gateway’s terms and privacy rules apply to the payment service. They do not replace PSPA’s responsibilities for its programmes, participant information or refund decisions. Read Razorpay’s buyer privacy notice before using its service.

Photographs and recordings

PSPA programmes and events may be photographed or recorded. PSPA, the relevant institutional or programme partners and the sponsors of that event may publish event photographs and videos through their official websites, social media, publications and programme communications for documentation and promotion. The relevant event or programme notice should explain these uses and any available choices before participation. Publication permission does not authorise disclosure of private applications, phone numbers, payment records or unrestricted reuse of protected teaching materials.

If you have concerns about a photograph or recording featuring you, contact PSPA with the page link and enough detail to identify it. We will review requests for restriction or removal; copies already distributed or held by independent publishers may require separate action.

Retention, security and your choices

We retain information only as long as needed for the stated purpose, ongoing participation records, applicable accounting or statutory requirements, or a dispute. Records that are no longer needed should be deleted or anonymised. Access should be limited to authorised staff and relevant delivery partners; no system can guarantee absolute security.

You can contact us to request access to or correction of your information, deletion where appropriate, withdrawal of consent or an explanation of partner sharing. We may need reasonable verification of your identity, without asking for an OTP or password. Some records must be retained by law, and withdrawing information needed to deliver a programme may affect participation. We will explain any such limitation.

Cookies, linked services and children

Essential cookies or similar technologies may support website security, sessions and basic functionality. External forms, videos and payment pages may set their own cookies. You can manage cookies through your browser; blocking essential cookies may affect functionality. Any optional analytics or advertising tracking should be disclosed with the appropriate choices before use.

Advertising choices on SSLP pages

You can choose whether PSPA measures Google Ads results and whether Google and LinkedIn help show you PSPA programme reminders. These choices are optional; the enquiry and application forms work without them. Change your choices anytime using “Advertising settings” on the SSLP pages. Your browser keeps the choice for up to 180 days. Withdrawing it stops future optional tag loading on those pages; providers may retain information they already received under their own policies.

If you choose measurement, Google may receive page visits, ad-click identifiers and browser or cookie information. Personalised ads stay off unless you also choose reminders. If you choose reminders, Google and LinkedIn may use page visits, cookies, browser or device information and IP address. LinkedIn may also receive public page and button names and clicks. PSPA does not send form answers, contact lists or payment details to these advertising tags, and does not use enhanced contact matching. The separate Google Forms have their own privacy and cookie rules.

PSPA’s professional registration services are intended for adults. Do not submit a child’s personal information through general forms. Any activity involving children requires a specific process and the applicable parent or guardian permissions.

OTPs, passwords and suspicious requests

If an official PSPA service uses email or phone OTP verification, enter the code only on that official service. No PSPA representative will call, email or message you asking you to reveal an OTP, password, CVV or UPI PIN. A refund does not require you to approve an unexpected payment request. Report suspicious requests immediately to connect@pspa.org.in.

Privacy enquiries and changes

For privacy questions, complaints, information requests or suspected misuse, write to connect@pspa.org.in with the subject “Privacy request”, or use Contact PSPA. Postal contact: Plot No. 47, SY No. 86, Richmond Park, Kondapur, Serilingampally, Hyderabad, Ranga Reddy, Telangana 500032, India. PSPA’s authorised team will review the request and respond within the applicable legal requirements. Any material change in purpose or sharing will require an appropriate updated notice; a policy update alone is not consent to a new use.
